Minutes 5/22 Meeting
IMLS/CHO Project
May 22, 2000
Group Meeting
CT Historical Society
1. Introductions
Allison Zhang was introduced to the group. Allison
started working in May and she informed the group of the work see had done to
date. She has been working closely with Boston imaging to finalize the contract
and to schedules visits to each institution.
Mary Ann also introduced the
woman currently working on photos for the IMLS Project and Mary introduced
Kathleen, the new cataloger, who will be with us June 12, 2000.
2. Committee / Reports
A. Technical Committee
- Image Server Update - It was determined that
Image Server can be used. There are two directions in which the technical
committee may go; to catalog the record and then attach the image or to scan the
image first and then attach a record. The issues that still need to be resolved
are when the server will be installed at all three sites, when training will
take place for all three catalogers and how Mystic can bulk load into Image
Server.
- Boston Imaging Update - Allison met with Boston Imaging and
received answers to all her questions [see questions document]. Allison will
follow up on the groups questions
- Can we review the scans before they get
on CD?
- Can copyright information be on mounts?
- Does each group wants
slides? Does that cost extra?
- Geographic Component - T. Wilsted spoke with
Pat McGlamory (Uconn Map Library) and it was determined that Patrick had a
student for the summer to work on the project and if $8,000.00 was available for
the student to continue into the Fall, Patrick would be ready to start the
geographic component work. The student would work on the Gazetteer part
component this summer and finish the design and database in the Fall.
- List
Serve Instructions - If anyone is still having problems with the list serve
please contact Doug at the
following email; doug@mysticseaport.org
B. Selection Committee
- Individual Institutions - each group reported on
where they are at with selection. Mystic has completed the selection of 5000
images, Uconn is at 1,000 and counting and Myctic has not counted yet but is
confident that they will have in the range of 3500 to 5000.
- T. Hurt
distributed the Subject Heading list. The group will go over the list one more
time and then move to the next step to prepare for cataloging.
C. Education Committee
- D. Kahn distributed a fund raising document. The
funding for the educational component is currently on hold until some money can
be generated. The first need is to hire a teacher to do a lesson plan for the
pilot project planned for July 2000 [see Allison's time line].
D. Management Committee
- D. Kahn reported on the status of all of the
proposal for funding [see Fund Raising Document]. There are currently proposals
that have been denied, are pending, are possible but need to be pursued and
alternate solutions.
- The group discussed a possible shift of money from one
area (Education) to another (Scanning Process).
- T. Wilsted also made a few
suggestions which Tom and David will follow up on.
3. Pilot Project - Allison Zhang introduced the pilot project idea to the
entire group. There were a few issued that needed to resolved as far as how to
get photos to CHS and what will be expected for this project. The technical
committee will discuss the various technical aspects that need to happen for the
pilot project to work. Each group agreed they could select 100 images and have
them to CHS for the July 6th scan date. This pilot project will test the work
flow of cataloging and scanning. As long as funds can be raised a teacher will
be hired to write one lesson plan for the project.
4. Group Sessions - The groups broke apart and met individually for a half
hour.
5. The working groups reported back. Each group will post minutes for their
group meetings.
6. Next Meeting - The next group / all staff meeting will be July 10, 2000
Monday.
