22.1  Adding Holding Records

In order to use the "Limit by Location" function in Voyager, a holding record (MFHD, pronounced as ma:f head) needs to be created for each bibliographic record. (Minutes 8/23/00)

The location statements for each institution are: 

  • Connecticut Historical Society, Hartford

  • Dodd Research Center, UConn

  • Mystic Seaport

22.2  Creating a Holding Record Template (MFHD)

    1. From the cataloging module, select File - Template - New, then select
      Holding from the drop-down, and click on OK.
    2. Press F3 to insert a field.
    3. Type 852 in the Tag field, leave both indicators blank, and change the |a
      to |b.
    4. Press Ctrl+L or select Edit - Show Holding Location, then select chs cho,
      or mystic cho, etc. for your location, and click on OK.
    5. It is not necessary to have the values in the Leader fields. But you can
      play with it if you want to have a "professional" template.
    6. Select File – Save as, to save the record as CHSHold.tem (or any meaningfull file name) in C:\voyager\catalog\tempalte\ folder (or the drive and the folder that Voyager files located.)
22.3  Setting Up the Holding Template as the Default

You need to set this up so when you click on Creating Holding button, this template will be displayed.

    1. From the cataloging module, select Options - Preferences... from the top menu.
    2. Select Folders/Files.
    3. Under Templates - Hldg:, click to browse to the
      C:\voyager\catalog\template\ folder and click on your holding template name.
    4. Click on OK.

22.4  Creating a Holding Record

    1. After you created a bib record, or opened a bib record, click the New Hldgs button. A new holding record will be open with your institution's location code in the 852 field.
    2. Click on the Save to DB button to save.

22.5  Checking for Missing Holding Records

1. Take the Bib number down for every record you created each day.
2. First thing in the morning, before you create any new records, check in
the database to see if you missed any holdings in previous day. Here are the
steps:

      1) Set the limit to your institution location.
      2) Search a? in a keyword search. See how many records you get.
      3) In Refined Search, search your institution name in the Institution field. See how
many records you get.
      4) If the two search results are not the same, you may have missing
holding records. Check all records you created in previous day to find the
missing holding record and correct it.
